Money Rules: Can the Bride & Groom Ask for Cash?

Q: I'm planning my wedding and I'd like to ask for cash gifts instead of doing a traditional registry. My fiancé and I already live together—we don't need china or a blender—but my mom says that's tacky. Is it?

A: Good etiquette has always said it’s okay to give cash (or a check) to the bride and groom; a modern twist says it’s now okay for the couple to signal that gifts of money would be welcome.

After all, money is often the most useful gift a newlywed couple could receive. Life isn’t cheap these days, and neither are weddings, let alone putting together a household together.

The key to pulling it off without offending anyone is in how the ask is made.

As with registry information, the news that money is preferred should be given out by word of mouth—never on the invitation.

When asked, simply say, “Of course we would love anything you choose, but we could really use help with a down-payment.” This wording acknowledges the guest’s right to choose the gift—while painting a picture of what the money will be used for.

If using the words “money” or “cash” goes against the grain, phrases such as “help with” or “a contribution toward” are good euphemisms. Coach immediate family and close friends to help them tactfully answer the inevitable guest questions they’ll receive about where the couple is registered. Your personal wedding website is also a great place to post this message, along with your registry information or online money gift sites—as long as that's not the only information there. And it is best to have a few items on a traditional registry for guests who prefer a gift wrapped with paper and ribbons.

The concept of negotiating comes up between me and clients almost daily. While in my daily life i'm not a fan of haggling, i'm a big advocate when it comes to your big day. While some vendors will not be willing to negotiate their price with you, a great many are. Besides, what's the worst than can say, no?!

When encountering a vendor who is not willing to budge, consider another tactic, perhaps they can throw in an extra service or upgrade your package for free. Remember, once a contract is signed, there is no negotiating. However, if you haven't signed a contract, your strongest time to negotiate is when you mention you brought your checkbook with you. There is something magical about the words "I have my checkbook with me and i'm ready to sign a contract, but can you do any better for me."

Anyone in the event planning industry will tell you that we are in the business of joyous occasions and, although sometimes stressful, we prefer to focus on the positives - and I couldn't agree more! Sadly, I will admit that it is for that reason (and not wanting to stress anyone out further!) that we (myself included) never talk about the dreadful "what ifs." April Showers bring May Flowers

I know what you're thinking - it's March and it's been a really wet one!! The good news about this past March is that we hit record temperatures too (on the warm side!). But regardless of whether your event is in April or August, the "R" word can hit at any time - so be prepared (mentally and physically). It can never hurt to buy a beautiful umbrella (try to find one which can double as a parasol). This will serve two purposes: A) It will hopefully jinx any potential for inclement weather and B) If not, you can still take fabulous shots outdoors utilizing the umbrella. I have photos of a Bride & Groom at The Woodlands on a rainy day with a big red umbrella outdoors. The contrast of the bride's white gown, the groom in a black and white tuxedo and the red umbrella were dramatic. Yesterday's Bridal Show at The Woodlands was a great success - thank you! During the show, I had the chance to chat with Mike from Spitz & Peck regarding FAQ's Florists get. For those of you looking for a few great ways to save on flowers, here you go!

1. Go seasonal! Of course we live in a world where peaches are available in NY 12 months a year but take into consideration the fact that they have to be flown in from somewhere where they are in season (usually half-way around the world). By selecting a flower that is in season here, you can save considerably.
2. Don't be afraid to use branches, feathers and other "filler" - fewer flowers but an equally full arrangement will save you a pretty penny.
3. Communicate (I say this all the time)! By communicating with your florist (and any vendor for that matter) they can either demonstrate some flexibility or make a suggestion to get you where you need to be. And remember, if you ask for something, the worst thing that can happen is you are told no.

Fool Proof Response Cards

As a general rule of thumb, i suggest mailing your invitations eight weeks ahead of time and requesting responses four weeks ahead of time. While companies vary in terms of their method for providing proofs and the length of time that and printing takes, start the selection and ordering process 5-6 months ahead of the big day whenever possible. If you don't have that much time, you need not worry, simply mention your time frame to the stationer so they can make appropriate suggestions of design.

When the time arrives to stuff your invitations, one easy way of helping the response process along is to number the response cards and keep a list of which guest was assigned what number (number the cards in a very small inconspicuous way on the back of the card so no one will notice. This method will prove invaluable when you receive a response card with no name filled in.

One of things i go over with Brides and Grooms when we meet in person are the details for their Marriage License - ID requirements, length of validity, etc. Please note an update in this information...

A Marriage License is valid statewide despite the county in which it is obtained. It remains valid for 60 days only (unless you are Military Personnel). Please note that by going to any of the Five Boroughs of New York City to apply for your Marriage License, you can save yourself the trouble of having to bring 2 forms of ID since all that is required is your Driver's License. Again, it doesn't matter where you live or where in NY you are getting married.

Tipping

Tipping is often a topic that gets overlooked by couples until the last minute so here is the breakdown so you can plan from the start and execute a proper budget. As a manager who has trained my share of Restaurant and Banquet Employees over the last 10 years, i will tell you what i have told them time and time again; TIPS are To Insure Proper Service. What that literally means is that a tip must be earned and therefore, when a tip is received it is literally a demonstration of appreciation. There are many individuals who will be responsible for making your wedding day a success. Many of whom are behind the scenes and work even harder than those you know and see. Since a Tip is based on service (and hopefully someone going above and beyond), you should typically wait until the end of the affair to distribute this money. You can decide if you want to do this yourself but it is usually better to delegate this to your Wedding Planner or DOC (if you have one) or otherwise your Best Man. Have preset amounts all ready (in cash) in labeled envelopes. And remember to always reference your contracts since if gratuity is charged on a contract you don't need to double tip.

Officiant: If you are getting married in a Church where you are a member and no fee is charged, than it is customary to give a donation to that house of worship - approximately $100.
If you are hiring a civil employee and or being charged a fee by your officiant than no tip is needed.

DJ / Entertainers: If you have booked your entertainment through an agency, it is customary to give each entertainer (i.e. musician and singer or DJ and MC) $25-$50. If the entertainers are self employed and then no tip is needed.

Hair / Makeup: Whether you are going to your regular stylist or someone who specializes in weddings, the customary gratuity is 15-20% unless that person is an owner and then no tipping is needed.

Photographer, Videographer and Decorator (i.e. Florist): Again, the rule applies that if the individual owns the company then you do not need to offer a gratuity. If not, it is customary to give each person (including the floral delivery person) $50 each.

Day of Coordinator or Event Planner: Assuming this person is an employee of the company and not an owner or self employed, than a $100 tip is customary.

Limousine / Transportation: 20% Gratuity is typical but this may already be factored into your contract.

Catering / Reception Staff:

Maitre D': A suggested gratuity for your Maitre D' is 3-5% of your Catering bill or $3-5 per guest. This is by far the largest gratuity you will be distributing which is not already part of your contract. It should be noted that within all SHG facilities, this gratuity is pooled by most of the managers (including the Chef) who are all working together to make your day a success. Some of these people are working with you a year in advance of your wedding while others only on the big day, regardless they are all instrumental.

Waiters & Bartenders: A 20% Service Charge is included on your contract which goes to pay the waiters, bartenders, bussers, runners and more. While an additional gratuity is not required, it is always appreciated. Should you decide to, $10-25 per employee is recommended. For ease, you can hand one envelope to the Maitre D' letting him know it should be distributed amongst his employees.

Bridal Attendant(s): $150-250 each

Valet and Coat Check: If you do not want the valet to accept any gratuity from your guests, provide your Banquet Manager their gratuity in advance of guests arriving and a sign will be posted stating "All Gratuities Have Been Paid By The Host." A typical amount is $1-2 per guest.

One of the many frequent questions i get asked is about registering. So many couples do not want to register for a variety of reasons and simply prefer the idea of receiving monetary gifts. Favors, a Donation, or both?

Guests who are attending your event in many cases are going to a large expense to do so. From the gift to attire, transportation and sometimes overnight accommodations. Gifting a favor to every guest is a thoughtful way of demonstrating your appreciation as long as it is done correctly. It is becoming more common for hosts to make a donation to a charity of their choice and alert guests that this has been established in lieu of a favor. Personally I'm a fan of this - it is a chance to give back and also create an awareness. For hosts who feel a donation is not enough can opt to give a favor instead or in addition. A tip for selecting a favor - make it something useful. We have all come home with an item that may be pretty but may not be very useful. Consider giving food as a favor (also known as a Departure Gift) or something practical like an engraved corkscrew or personalized bottle of champagne. For other ideas or advice please contact me!

Rice, Rose Petals or Bubbles?

I met with a Bride and Groom today and the question come up about throwing rice after a ceremony. while we don't see too much rice thrown due to the detriment this causes for birds and other wildlife, we do recommend rose petals or bubbles to mark the occasion. some time ago, i witness a beautiful way to pass out the rose petals to be tossed during the recessional. This couple made copies of the sheet music from their first dance, rolled it into cones and used that to hold the petals. Myself and the guests were none the wiser to what the significance was of the sheet music, but when the song came on, everyone had a knowing smile on their face.

Shopping for Vendors and other time saving strategies

First of all, Happy New Year! Most of you who are reading this are probably planning for your event to happen in 2010 so that alone makes this an exciting year! And even if you are planning your big day for 2011, 2010 is when most of the work will be done.

Shopping for vendors (i.e. entertainment, photo, decor, etc) in most cases is not the same as shopping for the venue - there is not need to look at 5, 10 (or in some cases 20!) vendors in each category before you find the right one. in order to save yourself time, energy (and heartache), begin with two vendors in each category - this will give you a basis for comparison. If you find that you are not satisfied with the two you have shopped, move on to a third (and fourth as needed). Trust me - this strategy will simplify the planning process dramatically.

In addition, plan to get as much done now and ahead of time as possible. No matter what, there are certain tasks which cannot be completed before the few weeks before the big day so the more that gets lumped into that time period the harder it will be.

To Post or NOT To Post?

The idea of an event (wedding) website is one which comes up very often as I'm meeting with clients. After all, this is the information age and with Facebook, twitter, iPhones, blackberries and the rest, we are all always plugged in.

So is a wedding website a necessary evil?! I think that all depends on your need to communicate in an efficient way with a large number of people. Consider the following -

Do you have a lot of out of town guests?

Are you in need of communicating more than just the ceremony and reception site to your guests (i.e. post wedding brunch, rehearsal dinner, after hours party, etc)?

Are you registered in a variety of stores?

These and a million other reasons might make a wedding website a smart, efficient way to communicate with your guests, bridal party and others.

Wishing for Luck on the Big Day?

Something Old, Something New, Something Borrowed, Something Blue and a Silver Sixpence in her Shoe

This rhyme originated in Victorian times. 'Something Old' signifies that the Couple's friends will stay with them. In one version of this tradition this came in the form of an old garter which was given to the bride by a happily married woman so that the new bride would also enjoy a happy marriage. 'Something New' looks to the future for health, happiness and success.
'Something Borrowed' is an opportunity for the Bride's family to give her something as a token of their love (it must be returned to ensure Good Luck), and 'Something Blue' is thought lucky because Blue represents fidelity and constancy. The custom began in ancient Israel where brides wore a blue ribbon in their hair to symbolise their fidelity. A sixpence was placed in the shoe to bring the couple wealth in their married life. Some brides still place a penny in their shoe during the marriage ceremony.

Selecting a Photographer

Don't fret too much about dancing in those heels - but do be sure and break in your shoes before the big day! (Carrying a comfortable extra pair never hurt anyone though!)
